Managing Subconsultants on Architecture Projects: Scope, Fees, and Coordination

The Architect Is Responsible to the Owner for the Work of Subconsultants - That Responsibility Requires Active Management

Most architecture projects of any significant size require subconsultant engineers: structural engineering, mechanical/electrical/plumbing (MEP) engineering, civil engineering for site work, geotechnical engineering for foundation design, and often specialty consultants for fire protection, acoustics, lighting, or technology systems. The architect's agreement with the owner (AIA B101) makes the architect responsible for the coordination of subconsultant services - ensuring that the engineers' documents are coordinated with the architectural documents, that submittals are reviewed by the appropriate engineers, and that the project's technical requirements are met across all disciplines. This responsibility is real: an architect cannot successfully defend a construction defect claim by pointing to the structural engineer's error if the architect failed to coordinate and review the structural engineer's work. The ARE PjM exam tests subconsultant management as a project management competency.

Subconsultant Scope and Fee Structuring

Before engaging subconsultants, the architect should define their scope in writing - what services are included, what deliverables are required at each phase, and what is specifically excluded. Scope definition prevents subconsultants from later claiming additional fee for services the architect expected but never explicitly stated were included. Subconsultant fees are typically a percentage of the total architecture fee (structural 10-15%, MEP 10-20%, civil variable) and are structured to parallel the architect's phase structure. The architect's contract with subconsultants (typically AIA C401) should flow down the relevant owner-architect contract terms: standard of care, insurance requirements, governing law, and dispute resolution.

Coordination Requirements

Active coordination between the architect and subconsultants is required throughout design. Coordination meetings at major phase transitions (schematic design, design development, permit set completion) bring all disciplines together to resolve conflicts before they reach the construction documents. The architect leads the coordination process: issuing coordination drawings or BIM models for subconsultant overlay, hosting multi-discipline design reviews, and maintaining the drawing schedule that shows when each discipline's documents are due for cross-discipline review. Without this coordination, conflicts that should be resolved in design get discovered during shop drawing review or in the field - at a far higher cost to resolve.

Subconsultant Submittal Review

During construction, subconsultants are responsible for reviewing submittals in their respective disciplines. The structural engineer reviews structural shop drawings; the mechanical engineer reviews HVAC submittals; the electrical engineer reviews electrical shop drawings. The architect receives all submittals, logs them, routes them to the appropriate subconsultant for review, receives the reviewed submittals back, and issues them to the contractor. The architect's review covers coordination with the architectural documents and does not relieve the subconsultant of responsibility for the technical content of their discipline's submittals.
