Coordinating Specifications with Drawings: How the Two Document Types Work Together

How specifications and drawings complement each other in a construction documents set - what each communicates, common coordination errors, and how document coordination is tested on the ARE PDD exam.

Drawings and Specifications Communicate Different Things About the Same Work

In a construction documents set, drawings and specifications are complementary - neither is complete without the other. Drawings show location, size, configuration, and spatial relationships: where things go and how big they are. Specifications describe quality, performance, materials, and procedures: what materials are required, what standards must be met, and how work must be executed. If you build the drawing but ignore the spec, you'll build it in the right place with the wrong materials. If you follow the spec but ignore the drawings, you won't know where to put it. Understanding this complementary relationship is fundamental to ARE PDD, which tests construction documents coordination.

What Drawings Communicate

  • Dimensions and sizes of elements, spaces, and assemblies
  • Locations relative to reference points, grids, and other elements
  • Configuration - how elements are assembled and their physical relationship
  • Quantities - how many of an element exist (schedules)
  • References - callouts to details, section cuts, and spec sections

What Specifications Communicate

  • Quality - performance characteristics, grades, and standards for materials
  • Product identity - acceptable manufacturers and product designations
  • Workmanship - execution methods, tolerances, and quality standards
  • Administrative requirements - submittals, testing, warranty, and maintenance

Common Coordination Conflicts

Coordination errors between drawings and specifications are a common source of RFIs, change orders, and construction disputes. The AIA General Conditions (A201) address this: when a conflict exists, the architect determines which document governs, and if the error is the architect's, it may be an architect-caused change that does not entitle the owner to a reduction in the contract sum.

Common conflicts:

  • A drawing calls out a roofing system as "4-ply BUR" but the specification calls for "TPO membrane" - the contractor submits a question, the architect must issue an ASI or change order.
  • A detail shows a window sill at 3/8" slope but the specification requires 1/8" per foot minimum drainage slope - these are not the same and must be reconciled.
  • Drawings show 5/8" Type X gypsum board on walls, but the specification calls for 5/8" Type C board - the architect must clarify.

The Rule: "Or Equal" and "Basis of Design"

When a specification names a proprietary product as "basis of design" with "or approved equal," the contractor may propose substitutions from other manufacturers. The substitution request process (defined in Division 01) requires the contractor to demonstrate that the proposed substitute is truly equivalent in performance, dimensions, and quality. The architect evaluates and may accept or reject substitutions. Drawings may show product names or keynotes that reference specification sections - these must align.

Specification Section Numbers on Drawings

A common coordination practice is adding the specification section number to drawing keynotes and callouts. For example, a concrete wall detail might include a note: "Cast-in-place concrete - see Section 03 30 00." This directly links the drawing information to the specification that governs quality. This practice makes it faster for contractors to find the applicable specification and reduces the risk of missing a spec section.
